The engagement runs in nine stages. The first three exist so you can decide whether the remaining six are worth funding.
Discovery
Interviews with the people doing the work and the managers accountable for it. We establish which processes are painful, which are expensive, and which are simply invisible.
Process Mapping
Each process is documented step by step: trigger, systems touched, data moved, decisions made, handoffs, and the rework that happens when something is missing.
Cost Analysis
Volume multiplied by handling time multiplied by loaded labor cost, plus the cost of errors and delay. This produces the annual figure that justifies or rejects each automation.
Automation Design
The target workflow is specified, including what runs automatically, what requires approval, which thresholds create exceptions, and who owns each exception queue.
Implementation
Integrations, logic, data handling, and notifications are built. The stack is chosen for the workflow: platform tooling where it fits, custom code where it does not.
Testing
Workflows are validated against historical and live data, including deliberate edge cases: duplicates, malformed documents, missing references, and system outages.
Deployment
Cutover is staged. Workflows typically run in parallel with the manual process until accuracy is demonstrated, then the manual step is retired and documented.
Monitoring
Every workflow reports on itself: throughput, exception rate, failures, and latency. Alerts route to us first so problems are handled as maintenance, not as incidents for your staff.
Optimization
Exception patterns show where rules should tighten and where the next process is worth automating. The automation rate is reviewed against the original business case.
